Privacy Policy

Last updated: November 2, 2026

This Privacy Policy explains how Sun Coast Spotlight (“we”, “us”, “our”) collects, uses and shares information when you visit suncoastspotlight.com, fill in our forms, or call or text us. By using this website you agree to the practices described here. If you do not agree, please do not use the website or send us your information.

1. Who this applies to

We sell shared postcard advertising to local businesses. This policy covers business owners and their representatives who contact us, request availability, or become advertisers, and anyone who visits our website. It does not cover the households that receive our mailers; their addresses come from mailing lists and are handled under our mailing and printing partners’ own terms and the rules of the U.S. Postal Service.

2. Information we collect

Information you give us. When you use our “get featured” form we collect your full name, business name, email address, phone number, website (if you give one) and the page you came from. When you call, text or email us, we receive the information you share, including your phone number. If you become an advertiser, we also collect the details needed to design and run your ad, such as your logo, offers, artwork, business address, and billing and payment details.

Information collected automatically. Like most websites, our hosting provider records technical information when pages are requested, such as your IP address, browser type, device, the pages you open and the date and time. We use it to keep the website secure and working. This website does not use advertising trackers or analytics cookies. If that changes, we will update this policy first.

Cookies. Our website itself does not set tracking cookies for visitors. WordPress, the software that runs the site, sets limited cookies for staff who log in to the administration area. Our contact form uses a one-time security token to block automated spam; it does not identify you.

3. How we use information

  • To reply to your request and tell you what is available for your area and business category.
  • To plan, design, print and mail your advertisement, and to send you proofs for approval.
  • To take payment, keep business and tax records, and manage your account.
  • To contact you about your request or campaign by phone, text or email.
  • To promote your business and offer online, as described in section 4.
  • To protect the website and our business against spam, fraud and misuse, and to comply with the law.
  • To understand which questions and areas are most requested so we can improve our service.

We do not sell your personal information, and we do not share it with third parties for their own advertising.

4. Who we share information with

We share information only with people and companies that help us run our business, and only as needed to do that job:

  • Website hosting and email delivery providers that store the website and send our messages.
  • Business tools we connect to the website, such as customer-relationship, spreadsheet, notification or automation services. Form submissions may be sent to these tools automatically.
  • The public, when we promote your ad. Your business name, logo, offer and ad content are posted publicly on our Facebook page and Facebook groups, in our partner business directory and on suncoastloop.com. We do not post personal contact details such as your email address unless they are part of your ad. Those platforms and sites have their own privacy practices, and anything posted publicly can be copied or shared by others.
  • Printing and mailing partners and the U.S. Postal Service, when your ad is produced and delivered.
  • Payment processors, accountants and professional advisers, when you pay us or when we need advice.
  • Authorities and other parties, where the law requires it, to enforce our terms, or to protect people and property.
  • A buyer or successor, if our business is sold or reorganized. We would ask them to honor this policy.

We ask these providers to protect your information and to use it only to provide services to us.

5. Phone calls and text messages

If you call or text us, or give us your number on our form, we may call or text you about your request or your campaign. You choose to start a text conversation by sending us a message. We do not send marketing text messages unless you have agreed to receive them. Message and data rates from your carrier may apply, and message frequency varies. Reply STOP at any time to stop texts, or tell us on a call and we will note it. We do not sell or share phone numbers with third parties for their marketing.

6. Email

We email you about your request, proofs, scheduling, billing and your campaign. If we ever send promotional email, it will include a way to unsubscribe, and we will honor the request promptly.

7. How long we keep information

We keep requests and advertiser records for as long as we need them to respond to you, provide our service, keep required business, tax and legal records, and resolve disputes. Requests that do not lead to a campaign are deleted within a reasonable period, generally within two years. Server logs are kept for a short period. After that we delete the information or remove anything that identifies you.

8. How we protect information

We use reasonable technical and organizational measures to protect information, including access limits for staff, spam protection on our forms and encrypted connections where available. No website or email system is completely secure, so we cannot promise absolute security. Please do not send payment card numbers or other sensitive details by form, text or ordinary email.

9. Your choices and rights

You may ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you may ask us to stop contacting you. Depending on where you live, you may have additional rights under state privacy laws, such as the right to access, correct, delete or obtain a copy of your information, and the right to appeal a decision. We will respond to reasonable requests within 45 days, and we may need to confirm your identity first. We will not treat you differently for making a request. To make a request, contact us as described below.

10. Children

Our website and services are for businesses and are not directed to children under 13. We do not knowingly collect information from children. If you believe a child has sent us information, contact us and we will delete it.

11. Links to other websites

Our website may link to other websites. We do not control them and are not responsible for their privacy practices. Please read their policies.

12. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it last changed. If we make a significant change, we will take reasonable steps to tell you, such as a notice on the website.

13. Contact us
